Student Chapter
Role: President (May 2023 - June 2024), Vice President (May 2022 - May 2023), Treasurer (May 2021 - May 2022)

Once I was appointed vice president, my goal was to help manage the SCAD student chapter of WIA through an organization system created based on what I had learned from my first year on the council as treasurer.

WIA Google Drive

Google Drive

I took the initiative to create a Google account for current and future councils to utilize. This will allow all of WIA  SCAD's materials and activities to be completed and stored in a single location. And future councils will have the work of past councils to reference and guide them. 

The Google Drive is organized into five major folders associated with the main groups that the council engages with: the council, the club, WIA, and the Inter-Club Council (ICC). Lastly, any important resources that need to be easily accessed and found are in a separate folder.

Council Guide

To help current and future officers navigate the Google Drive and manage WIA SCAD, I created a guide explaining the organization system and structure I created along with tips, advice, and important resources and links specific to each officer position.

An explanation of the Googe Drive organization system and structure can be found on Slides 18-25.

Council Responsibilities

A system I added as president is a spreadsheet that delegates and details all of the council's responsibilities
that need to be completed regularly, biweekly, quarterly, and yearly in order to run the chapter. As a result, the current and future councils can easily delegate responsibilities based on availability, visualize their assigned responsibilities at a glance, and refer back to them when needed.


I also outlined the events and types of meetings that the chapter hosts or participates in so that future councils have an idea of what to schedule for the year.

Discord Server

When I was vice president, I reorganized the council's Discord server to correspond with the organization of the Google Drive, and keep communication and planning compartmentalized.

I also reorganized the student chapter's Discord server to be more intuitive and concise based on what already existed.

Discord's Spring 2023 update included an events feature in servers. I took advantage of this feature to announce events and gauge the interest of attendees in advance.

Chapter Agenda

When it came to scheduling chapter meetings, I created a spreadsheet for the council that included meeting details, links to the promotional materials, and links to the meeting materials. The council could easily follow the chapter's schedule, find the necessary administrative materials in one place, and the faculty advisors could easily sign up for the meetings they wanted to supervise.

Google Calendar

Once the schedule was established, I updated the chapter's Google Calendar, which our members could add if they used GCal. I also created a separate calendar for the council so the chapter's calendar would not be flooded with information that did not pertain to the members.

To foster a supportive community among SCAD's animation clubs, I reached out to the other animation clubs to add their Google Calendars. As a result, we could avoid scheduling conflicts or schedule collaborative events.  â€‹Click on the images to expand.

Goals

One thing I wanted to establish as president at the very beginning of the academic year was the council's goals. One of our goals was to become a professional club at SCAD.

To become a professional club at SCAD, we had to fulfill two of the three requirements listed in the SCAD Student Club Handbook. Since the chapter already held an international affiliation, we decided to focus on planning and coordinating numerous school-wide events.

One of the school-wide events I spearheaded was called "Dive into SCAD Animation Concentrations." It was a collaborative event with all the animation clubs at SCAD. I ended up creating a simple Discord server for current and future animation club officers to communicate on and assigned roles based on the clubs each officer represented. Creating this Discord server aligned with my personal goal to foster a supportive community among SCAD's animation clubs.

Clubs could also create private channels to collaborate on events that other clubs might not be participating in and still have the space to communicate.

To the right is a snippet of the document I used to organize the Animation Concentrations event and share information with the other clubs. This document included the meeting details, meeting materials, meeting agenda, things that needed to be done by whom for the event, and things that needed to be collected by whom for the event.
